Jive Community Manager Blog

WARNING: This story is not for the faint of heart, may be a little long-winded, and will probably sound familiar to a lot of you.

 

Sit down, let me tell you a story

This one is a mystery story... It's about a community -- a community a lot like yours! It was launched rather quickly, owned by many, driven by reactive need, and grew and grew until it resembled a version of the Winchester Mystery House.

   The Winchester Mystery House is down the street from where I live, and yes, it's a little creepy.


Now, if you are not familiar with the Winchester Mystery House then you are missing OUT! The Winchester Mystery House is a mansion in San Jose, California, which was once the personal residence of Sarah Winchester, the widow of gun magnate William Winchester. The story goes that Ms. Winchester was haunted (probably with a guilty conscious and a pile of bad dreams) which led her to remodel the house, under her day-to-day guidance, without interruption, for like 100 years. OKay, not really a 100 years but it was a really long time and she died at a fairly old age so you do the math. You see, she believed her family and fortune were cursed by the ghosts of people who had fallen victim to Winchester rifles, and that only by continuously building them a house could she appease these spirits. What you don't realize, however, is how crazily insane this house really is: Stairways to the ceiling. Doors that open to blank walls. Doors that open to sheer drops. There was clearly no design plan (because the ghosts were leading the way, duh) and what design there is appears to have been done by a crazy person (a very tiny old crazy person because the some of the steps in the house are only 4 inches in rise and I've seen pictures of Miss Sarah-stands-for-Sassy Winchester).

 

The Jive Community is a little bit like the Winchester Mystery House.

Imagine spaces and groups with no management. Groups with no content. Groups and groups and more groups, almost 4000 of them! Questions being asked and no one there to answer them. There's a lot of great information here and so many great people but some of them are stuck at the top of the staircase leading nowhere and others might even be stepping through the door that drops to the floor below. In case you've had that experience, I'd like to apologize. Seriously.

 

So I got hired to rebuild the Jive mystery house.

Rebuilding plans are happening behind the scenes.

We are:

  • Launching a Governance plan - We are formalizing a governance team at Jive to manage the community refresh and ensuing use cases. We've identified three tiers of governance: Strategic, Operational, and Tactical. Altogether, the governance team involves almost 20 people in the Strategic and Operational tiers alone. These are the people who will be driving the decisions that you see here.
  • Developing a Roadmap - We engaged Jive Professional Consulting to treat us just like they would any of you. They've done a ton of research is how the community is used to today then interviewed a large group of stakeholders to determine where the community needs to go. The result is a roadmap which I am working to get approved by the executive sponsors and the strategic steering committee.
  • Examining top Use Cases - Working with the Governance team and business stakeholders, we are evaluating concepts and resources to determine that gets done first.

 

So, it's going to take some time, but this is a priority for the entire company. I'll continue to share updates in this blog as we know more. I hope you are excited as I am!

 

By the way, we might keep one or two wacky doors or hidey-holes because let's face it, mysteries make life interesting. Right?

6 AM. It's a little too early for my brain to be functioning, however, when my dogs wake me up with their list of demands there's nothing else to do but make a fresh start to the day.

And once my mind is even a tiny bit awake, I start thinking. What am I thinking about, you ask? I am so glad that you want to know.

 

I'm thinking about you. And the Jive Community.

 

In the last three weeks, I have been trying to get a handle on the work that's been done in Jive with an aim towards making the Jive Community better. It's a serious project, folks. Lots of documents, schedules, budgets, discussions, and of course, meetings meetings and more meetings.

 

I'm going to pull the curtain aside for just a moment to let you in on a little secret. Jive is just like you -- we are just like any other company. Don't get me wrong, the answer to "do we engage in social business?" is always going to be an unqualified "for shizzle!" (which means yes, BTW). At the same time, we still have stakeholders, committees, collaborative decision making, and all of the other things that can slow down progress.

 

In all of this, I can't stop thinking about you. At the end of the day, you don't care about our budgets or who will do what. You just want to get answers and make your own sites better. I'm feeling you, I really am.

 

So I'm going to start my own group in the community called: Community Help.

 

The unofficial slogan will be: Getting 'Er Done in the JC: Making your experience better.

 

Off the top of my head, I'd like to address:

  • Are you new to the Jive Community? Tips for getting started. See The specified item was not found.
  • Profiles - best practices for completing them. (side note: we are looking at how can we make these more meaningful as customers, partners and Jive employees.) Not yet done.
  • Rules of engagement - seems pretty basic, but the Jive Community does not have these. Say what? It's true. Terms and Conditions
  • Getting around the JC (that's the Jive Community) - most people who come here are looking for answers. My bet is that there are some pretty well-worn paths that people take and I'd like to make these clearer to navigate. About the JiveWorks Community
  • Jive information integration - there's a lot going on outside the JC that should be more integrated within the community, such as the support documentation, the Jive Software web site, and others. Let's get people pointed in the right direction. We are redesigning our home page to search from multiple web locations for answers, hope to have that done by the end of the month.

 

Other important things to note:

  • Look-and-feel - that's right, the Jive Community will be getting a makeover. We've got a brand refresh in the works which is happening through the summer months (into August) and we will be making the JC look gorgeous as a result. In the meantime, I'll be focusing on the points above.
  • One last tidbit: SPAM. We've had quite a lot of it lately, so I'd like to ask for your help in flagging posts that do not belong in the Jive Community. Sales pitches, links to outside web sites, you get the picture. You can flag them and they will land in the moderation line-up. Max and I will be working on buttoning the site up to unwanted posts. See Best Practices for Spam Management in Jive (NOTE: you'll have to join the Jive Customer's group to see the post).

Going back to the roots of other upgrade announcements Jive has done - It's time!

 

After a lot of discussion, we're upgrading the Jive Community to 7.0. As a separate, but directly related item - we're taking the re-invention of the Jive Community seriously too. We're making the technical jump to 7.0, and at the same time having some great conversations around how we can improve and better help, serve, and connect our customers and partners (that's you). In the meantime, we're taking the community to 7, and removing some of the custom functionality that has been in place.

 

Upgrade Maintenance Alert: Jive Community Down Time on Friday, April 4th @ 5PM PST

The Jive Community will perform an upgrade task on Friday, April 4th, 2014 at 5PM PST.  The maintenance should be completed by 12AM PST.

 

Note:  This maintenance only applies to the Jive Community.  Any and all other communities hosted by Jive ARE NOT AFFECTED.  To keep our support staff focused on your highest priority issues, please escalate any questions regarding this announcement to your Support or Account Manager immediately

New Mobile Experience

  • Enhanced iOS Native App: Give end-users the ability to fully engage from their mobile device. They can create videos, blog posts, documents, discussions, status updates, and direct messages; search for content and expertise; mark content for action, as a decision, as helpful, etc.; interact via their custom streams; and quickly access their own content (requires Module Module purchase).
  • Improved Mobile Web experience. We're enhancing the mobile web experience with a focus on public communities (and will also be adding official support for Mobile Safari), giving our customers more flexibility in branding and theming their community on mobile. Whether logged in or browsing as a guest, users can view videos, start discussions, share their latest gamification mission completion in a status update and much more.

 

Other Product Enhancements

  • Enhanced Video: Enhanced user interface for playback, uploading, recording, and embedding video.

 

 

Again - for clarity, The Jive Community will be going down for maintenance and upgrade this coming Friday at 5PM PST. It will be down until approximately until midnight (4/5, 12:00A PST). Post upgrade we will be on 7.0, and have a whole ton of new, awesome functionality. If you have any questions please post them here.

So in case you haven't noticed, this morning (May 2nd, 2012), we changed the Jive Community look and feel.  This has driven many from the Jive Community to ask some very poignant questions, such as:

  • Did you upgrade the JC?
  • Why did this change?
  • Will this be included in the next release of Jive 5.x? or 6.x even?
  • Is that really Urkel on Dancing with the Stars?

 

Well, in order to try and simplify the message, I wanted to pull together some answers and get them out into the community to help.  So here it goes:

  • Did you upgrade the JC?
    • No, the changes made are simply a Theme update.  The product is still 5.0.2.x
  • Why did this change?
    • For some time now, this has been on our road map, even prior to me joining Jive, and in a way it was just time, and the right time at that!
    • We wanted to simplify things, clean things up, and reclaim some of our vertical spacing (all of which has been feedback from Jive customers and employees)
  • Will this be included in the next release of Jive 5.x? or 6.x even?
    • The new userbar look and feel (using words, and not icons) has been derived after many discussions with you (our customers).
    • While not identical, strong similarities exist between this theme, and the new user bar in Jive 6 (see:  http://jiveon.com for more details)
      • We do not have any plans to incorporate this as the new standard UI in 5.0.x updates
  • Is that really Urkel on Dancing with the Stars?
    • *snort *snort *snort hehehehehehe yeah! =)

 

The one question that isn't asked enough (IMO) is the most important one:

  • Who is responsible for this awesome new theme?
    • The answer to that one, is Jive's own Amber Orenstein from Professional Services!  So if you like what you see, and want to say thanks.  I strongly recommend @mentioning her!
      She was the driving force behind turning this request into a reality.  rockstar

 

One additional question has been asked:

  • Will the source code for this new theme be shared publicly in the JC?
    • We are currently asking around to find out this answer. Stay tuned!

According to this blog, its been nearly 3 weeks since my last update, and needless to say there has been quite a bit going down.  So without further ado, let's get this party started!

The Jive Community will be going down for scheduled maintenance to allow us time to roll out some new features and functions.  During this time, the community will be unavailable.  The estimated downtime should be less than 1 hour. 
Note: This maintenance will only affect this community, and will not impact other Jive hosted communities.

In this episode of Hats Off, I'd like to give a shout out to a group of people.  That group being everyone who has submitted (or will submit) a JiveWorld12 presentation proposal.  As I said in this blog post, Interested in speaking at JiveWorld12?  Here's your chance!, JiveWorld is a conference for the people, by the people.  A common piece of feedback each year has been, we want more customer stories and speaker, and it all starts with the customer submissions.  If you are even remotely considering sharing your story, idea, or topic, I strongly encourage you to at least submit an abstract (complete or incomplete).  In some cases, we may be able to pair you up with other customers as co-presenters on related topics.

As I stated during my last update.  Given the flurry of projects going on in the JC, things are moving a mile a minute.   When things are close to being released, I will probably provide an update; however, during periods where there are long levels of planning and development, and nothing I can show, these posts can get pretty dry.  As such, I'll make the posts when there is something to tell...hopefully every 2 weeks, but definitely at least once a month to make sure we keep in touch.  Does that sound fair?

 

In the mean time, I will continue to highlight users on the community main page, as a form of recurring Hats Off recognition.

What Have I Been Doing?

 

Well, first off, I'd like to say hello after a nice long sabbatical.  I spent a week relaxing on a beach, while hand feeding honey badgers from my hammock in t.... I wish!  In fact, the last week or so I have been fighting a pretty mean cold.  While I was able to stay on top of nominal tasks in the JC, many of my more high-touch tasks fell off the radar, including the Our Voice blog.

 

While I was out, here are some of the changes that you may have noticed:

Moving forward, for the sake of updates and time, I am considering moving these Jive Community Manager Blog  updates to a bi-monthly (2x/month) basis.  What do you think?

 

Also, for those who dont know me...I love using Economic Supply Demand Curves to explain things.  Dont ask me why, but they always seem to make sense to me.

Hats Off

In this episode of Hats Off, I'd like to give another shout out to Bill Chamberlain, Project Manager at Milward Brown, for his team's successful roll-out of their Jive 5 installation to over 70 countries.  Needless to say this is no small feat, and their hard work will almost certainly be rewarded by rapid adoption. =)  What makes Bill's story especially interesting to me, was that he leveraged the community as a place to talk out his journey, culminating in a series of countdown status updates that got me genuinely excited for his team.  As more and more of us join the Jive Community, I look forward to moments like this where we share our steps into the new (only) way to business.

What Have I Been Doing?

 

This week has been pretty busy.  It started with me:

  • drafting the Terms of Use on our upcoming Community Blogging Space, then
  • added a new field to the Jive Community Profile called, "Job Function" to try and provide yet another way for people to find each other.  Still working on the final set of values; however, should have decent coverage.
  • releasing an updated versions of the QuickLinks Plugin and SBS Widget Pack - Plugin with customer feedback from Tracy Maurer and Brad Fitzgerald (a.k.a. The Donut King), then
  • rolling out the ShareThis Social Share Toolbar on the Jive Community.

What's Next?

 

Next week, there is an awesome webcast coming up with Forrester, Jive, and AllScripts to discuss Customer Service as it relates to Social Business.

In this episode of Hats Off, I'd like to issue a shout out to two amazing bloggers:  Trisha Liu (left) and Marnie Pasciuto-Wood (right).    Most recently, Trisha posted Community Management 101: No Censorship, By Trisha Liu, ArcSight, an HP company.  An awesome article for up and coming community managers about how to embrace participation and both sides of an argument.  Definitely a must read, as the urge to delete is very difficult to overcome when getting started.  Next there is Marnie, who posted some awesome social analysis on Who Won the Brand Bowl? Results from Super Bowl Social Showdown.  Whimsical, yet educational.  Definitely a must read if you are new to social media monitoring and analysis.

What Have I Been Doing?

 

Continuing on from last week, I've been working on rolling out some of the new places for collaboration in the JC.  The themes we are looking to establish are strong vectors in Regional User Groups, Thought Leadership, and what we call Social Solutions.  (as noted in the Links menu, right)  In case you haven't noticed, here are some of the new Social Solution places in the JC for members to join to talk about what interests them:

What's Next?

 

Just released updated versions of the QuickTemplates - Plugin and QuickLinks Plugin, so that's my development spurt for a while.  Looking to take the feedback from What are your Top 3 Admin & Top 3 User Ideas you'd like to see in the Jive Product? (feedback window ends tonight at 9PM PST) and curate the results for discussion with product management.  We'll see what happens. =)  I greatly appreciate everyone who has taken the time to submit their feedback.  So stay tuned ...

Update on DM / Share SPAM Fix Configuration for Jive 5.0.1+:

Just wanted to leave an FYI for those people looking to uptake Jive 5.0.1+ externally and plan to enable the DM/Share SPAM fix.  In addition to the SPAM configuration located at Admin Console > Management > Settings > Direct Messages and Sharing (simple checkbox), there is a very handy permission located in the Admin Console > Permissions > Home Page Permissions screen allow you to grant Share/DM Spam Override to Permission Groups.  In short, these people will not be constrained by the SPAM user follow requirements.  Since it was so easy for me to overlook, I thought it would be worthwhile for everyone to share.

 

Also, related to this ... you can check out a new feature in the Admin Essentials Plugin that may provide more options in this arena.  See: AutoFollowListener.

Maintenance Update - Jive Community to install updated Jive for Outlook, Events, and Ideation Plugins next week:

Just a standard heads up.  We will be doing a quick update to apply some patch fixes next week (most likely Friday), which will require a small amount of downtime.  With this maintenance we will be installing the Jive for Outlook Module - v1 plugin, as well as updating the Jive Events Extension and Archived (Do Not Use) to their latest version.  Most notable will be the ability to Share ideas again.  This feature has been non-functional since the 5.0.2.0 upgrade.

What Have I Been Doing?

 

This week has been busy, as I made my first trip up to Portland to meet my fellow Jivers on their home turf.  While the trip was rushed, definitely lots of positive things came from it. Most recently, I have started on an effort to a series of Social Solutions groups in the JC.  My first one is The specified item was not found. which I plan to promote with various customer service professionals to get conversations around how Social Business can be leverage to amplify customer support.  Hoping to get Will Rose and some other notable customers in there talking about their use-cases.  If you are interested, you should stop by and join, or check out the upcoming WebCast:

More of the same, but I'm excited that things are starting to wrap up such that we can start revealing piece of the our new structure, layout and community.  So stay tuned ...

All in all, the upgrade went very well.  Many of the new features that we rolled out are already being put to use; however, I would be remiss if I didn't mention the new Share / DM changes.  As many of you noticed, we have enabled Share and Direct Message functionality; however, it requires that there be a reciprocal following between 2 people before it will allow either party to leverage said features.  While we have no doubt that this is surely going to help us curb SPAM, we do realize that it has had some lingering affects on spontaneous Share / DM.  Please know that we are actively discussing the situation internally to see what can be done.

 

In the mean time, the suggested work around is to Follow people and establish the reciprocal follow needed to Share / DM.

 

Hats Off

In this episode of Hats Off, I'd like to issue a collective shout out to nbussard in Midwest Regional Group.  They are the first to setup an offline meetup in the Jive Community using the new Jive Events Extension.  (see: Mid-west Users Group Chicago Meet Up).  I am definitely excited for the potential of this new plugin in the JC, and offline meetups with regional user groups are just the first use-case!  Thanks nbussard

What Have I Been Doing?

 

This week has been pretty busy.  It started with Community Manager Appreciation Day.  BTW, thank you from both Kristina and myself for all the praise on both Twitter and in the JC!  Jill Ross John Schwiller  Edward Ford and others!

Happy Community Manager Appreciation Day ... Who Do You Appreciate?

 

Post upgrade communications and follow-up, a little bit of development, and a whole lot of work on the JC's information architecture moving forward.  I've promised a high-level view of my findings, and while I am not able to share any details yet, I can share a high-level view of my thought-process.  Each one of these lines represents a direction that we hope to address with JC.  As you can, lots of lines...means lots of work.  But I am confident that this will lead to some great things for the entire community!

 

I was able to sneak in some development time this week as well.  Because I wanted to code a plugin to help with the reciprocal Follow issue, I didnt get the time to work on Evernote, The specified item was not found. ... so it wasn't a total loss.  But will have some cycles next week as well, so we'll see.

 

As I announced last week, we are working on creating a social business shared blogging place in the Jive Community, if you think you'd be interested in blogging there, please let us know ... you can join john ridings as one of the first!

Next week I will be traveling to meet my colleagues in Portland for the first time.  Definitely excited.  As such, I'll be on a plane ... and have some development time free. We'll see what comes from that.  Beyond that, more future looking and acting for the JC.  No doubt information architecture will also play a big role in next week conversations as well.  So stay tuned!

What Have I Been Doing?

 

Once again this week has been focused on the future.  Starting with tonight's upgrade, and laying out projects and priorities for the first half of 2012.  One program that I am excited to get up and running is a Community Blogging space.  In short, we know it's hard to blog.  It's even harder to commit to blogging an entire series.  Well we think we can help reduce some of the burden by creating a shared and moderated community blogging space in the Jive Community where people can blog their thoughts about social business. All we have to do is come up with a name for the space, some rules and guidelines, and we'll get it set up soon.  Would anyone be interested in voting on the name, or making suggestions?  Any body interested in being one of the first bloggers?

 

I'm continued to be amazed at the number of people who have reached out and joined a The specified item was not found. in their area.  Thank you to everyone who extends a welcoming hand to all the new users!  There are already talks of setting up offline meetups in the near future Midwest User Group DACH User Group (something we think the Events module will help orchestrate moving forward), so please be sure to reach out to your Jive Sales Representative, or myself, and see how Jive can help facilitate.

Maintenance Update: Jive Community Restart on Tuesday, January 10th, 2012 @ 8PM PST

The Jive Community will perform a mild maintenance task on Tuesday, January 10th, 2011 at 8PST

The maintenance should be completed by 9PM, and should NOT result in downtime; however, during this window users may experience intermittent UI sluggishness.

 

Note:  This maintenance only applies to the Jive Community.  Any and all other communities hosted by Jive ARE NOT AFFECTED.  To keep our support staff focused on your highest priority issues, please escalate any questions regarding this announcement to Ryan Rutan directly.

Upgrade Alert: Jive Community will be upgrading to 5.0.2.0 in early Q1

As promised, shortly after our migration to hosting we have our eyes set on upgrading the JC to the latest and greatest version of Jive 5.  With this upgrade, we are planning to install some new plugins including the recently released Community Manager Reports Plugin and some other treats that we'll keep secret for now.

 

As part of this upgrade, we finally plan to re-enable Direct Messaging and change User Relationships to Followers vs. Friends.  One other aspect worth mentioning:  we will be fatiguing a significant number of SPAM and abandoned accounts (last logged in before 2010) with this upgrade.  What does that mean?  It just means that we will be disabling the account (not purging anything).  Our intent is to clean up the User index (improve @mention accuracy) and reduce the number of email digests sent out to the abandoned accounts.

 

Note:  All these updates are still pending UAT sign-off; however, we are optimistic and thought we'd share the news.

What Have I Been Doing?

As some of you may have noticed, I've started making some changes around the JC.  You may or may not have noticed the new Home Page, the User The specified item was not found. pilot, or even the new JiveWorld space (check out this discussion: JiveWorld Alumni - how has JiveWorld changed you?) .  These are still interim steps in our new community re-org, but good steps nonetheless.  There are a slew of other changes in the works and planned through out the year ... so stay tuned!

 

A special "Thank You" goes out to everyone who has taken the initiative to join a Regional User Group, and people like nbussarddannyryan, Christina Zurcher, and dougmackay who have welcomed users into their regional groups on the JC!

What Have I Been Doing?

When I first came onto the Jive Community, there was an immediate call to action raised by many of you:  SPAM.  In the short time I have been here there hasn't been a day that has gone by where I haven't had at least an eye on the SPAM problem.  Thanks to the help of John Schwiller and a small change Handy trick for managing SPAM in User Profiles I can stand here (in digital form at least) and say that to date,

I have purged over 300 User Groups (abandoned/SPAM-ridden), 500 pieces of content, and over 4000 SPAM profiles from the Jive Community. 

 

You've also heard me talk on and on about Regional User Groups.  As some of you may have seen today by a surge in activity on my part, I have completed the initial stages of our Regional User Groups pilot, which can be seen here:  The specified item was not found.  In addition to Regional User Groups, we are looking to revitalize our thought leadership endeavors in the JC.  If you see a group that interests you, or would like to participate in a group on an unlisted topic, please let me know and we will do our best to assemble the group and participants for you to engage.

 

Oh yeah, somewhere in between there I broadcasted your tweets on a 7-Story Digital Billboard in Times Square, and  completed a small blog series  with the help of my colleague Deirdre Walsh called the The 12 Days of Conversations ... If you haven't read them ... you should check them out and weigh in.  Especially on Day 12: What are your social business predictions for 2012? before its too late to say, "I told you so!". =)

 

Lastly, as promised at JiveWorld11, I have been hard at work on the "The specified item was not found." plugin in my "free time" (between the hours of 11PM - 3AM).

What's Next?

 

You may ask, "Ryan, where do you get all this energy?" and that would be a good question.  Since I dont drink caffeine, the only thing I can think of is a raw untapped passion for the power of social business. =)  So what is next for me?  I plan to relax and enjoy this New Year's holiday weekend, and come back next week ready to keep moving the Jive Community Onward and Upward in 2012 and beyond!

This episode of Hats Off is a bit special for me, as I get to promote a former colleague of mine.  His name is a Rene Cacheaux.  Back in February 2011, Rene and I were talking about an application to salvage whiteboard conversations in meetings, and how nice it would be if you could just take a picture with your iPhone or iPad ... and upload them to Jive.  About 24 hours later, Rene stops by my desk and says..."Hey, check this out".  Low and behold, he had developed a functioning prototype application for his iPhone.  Needless to say, he had caught the social bug.  =) Fast forward 10 months, and he has put together a nice looking application on the iTunes App Store in his spare time that leverages the new REST APIs in Jive5.

What Have I Been Doing?

For the past few weeks, the IPO preparations have consumed most of my time. (See Paving the new way to the NASDAQ ... with Social Business)  Probably the single most fun project I've done in a long time recently came to a close .. and was a great success.  Here is a picture of the 7-story digital board at Times Square that showed your tweets on the day of our IPO.  We are awaiting a high-quality video from NASDAQ.  Once received, we will upload the video to the community so people can see their tweets on the billboard.  Stay tuned!

In addition to this I've started moving forward on a few more Regional User Groups, such as the Switzerland User Group, Germany User Group, and UK User Group (updated).
