On the heels of the 2016.1 release, the Jive-w Admin Console is also getting a visual refresh. Much of the functionality remains the same, but we've made key improvements to the experience in order to help the admins get work done as well as allow us to grow in new directions and add more content and information to the Jive-w admin console.

 

For those of you who aren't familiar, the Jive-w admin console is used to administer users for Circle and Chime. It can be used both in the standalone app world, and when those apps are connected to Jive-n. The changes are detailed below for easy reference

The new Jive-w admin dashboard gives you an overview of your organization at a glance

  • Current app usage - how many active users per app, the type of license you have, and information about additional apps if you don't have them all
  • Search - the search box gives you an intuitive and easy way to find the actions and pages you're looking for. Enter 'user' and you'll be presented with the option to go to User Management, Add New Users, and User Settings, for example.
  • Links to other pages - navigate to other areas of the admin console based on the actions you want to perform
  • Info on more apps - if you have Circle but not Chime, you'll get more information on what Chime is and how to get it

  • An overall styling change for better user experience. You can now see at a glance which apps a user has access to, and if they've signed into those apps or not
  • Refined search - narrow down users by status, type and apps they have
  • Bulk edit - you can search for and select multiple users, and them edit certain profile fields for all users together

  • A new look and feel to the user creation page
  • Creating a new user automatically gives the user access to all apps available to the organization. This can be edited in the Edit Permissions tab
  • Easily create a the user and then create another by clicking the 'Save and create another user' link
    • Note: For organizations connected to Jive-n, this feature will be locked in Jive-w and managed in Jive-n

  • Both checkboxes have to do with the type of information you wish to collect or not collect about your organization

 

This refresh is our first step in the progression of the admin console. We've got plans to add more feature, further refine existing functionality, and make this a one-stop-shop for all your Jive-w management needs. Some key areas of focus for us in the near future are app-specific management - manage features that are specific to each app that you own, rather than all users globally - as well as Analytics & Insights into your community and their usage of the apps.

We wanted to let you know that Cloud environments are being upgraded starting on Thursday September 11th, to address some issues that have been identified since the Summer release. There will be a very short maintenance window in which your Community will be unavailable and a Site Undergoing Maintenance message will be displayed.

 

If you or anyone who has access to your Jive network logs in during that time and receives a "site undergoing maintenance" message, please know that it will be less than 30 minutes to wait before your network will be available again.

 

A notification will be sent to Cloud Community admins early next week to act as a reminder of this maintenance timeline.

 

The following issues are being addressed in this maintenance release:

 

  1. JIVE-48140 - Trying to update a profile fails when a single-select list profile field exists and the value isn't changed before saving
  2. JIVE-48277 - In IE8, unread items can produce script errors, making the Inbox unusable until all items are marked as read
  3. JIVE-48217 - App alerts can interfere with access to the Apps interface
  4. JIVE-48212 - Points are hidden behind user names in Individual Leaders and Team Standings widgets
  5. JIVE-48148 - When a theme has minimum width set to larger than 950 px in auto-width mode, the UI is cut off when viewed with a narrow or mobile browser
  6. JIVE-48141 - Inline comments in uploaded documents are not displayed for earlier versions of the document.
  7. JIVE-47825 - Recent Content Widget does not update consistently when placed on the home page
  8. JIVE-48152 - A project owned by a disabled user cannot be reassigned to another user
  9. JIVE-48169 - Recent Activity widget shows unrelated comments when an event is defined in the place


This maintenance release requires a very short 30-45 minute window in which your Community will be unavailable. The window will depend on where your Community is hosted, and what type it is, as follows:

  • Trial Instances - Thursday 9/11
    • Amsterdam: 1pm - 5pm PDT
    • Phoenix: 4pm - 8pm PDT
  • Customer Instances - Friday 9/12
    • Amsterdam: 3pm - 8pm PDT
    • Phoenix Standard Instances - 7pm - 12am PDT
    • Phoenix Enterprise Instances - 10pm - 3am PDT

Place Pages

 

Premiering for JiveX are Place Pages, used to aggregate and highlight information for a place, reducing the need for multiple sub-spaces or groups.

 

  • Document View Tile - display an entire document, or just the HTML content
  • Call to Action (aka Carousel) Tile – in both wide and narrow formats, this tile allows you to direct attention to the most critical actions or information you want people to notice
  • Guided Navigation (aka Content Sets) Tile – for information that should logically be grouped together, such as various product manuals for user information on a single product, the Guided Navigation Tile allows the Place admin to visually connect through the UI several pieces of content together, providing a guided experience to users
  • Wide versions of many previously narrow tiles such as Featured Video
  • And more…

Sharing Content

One of the feature requests we’ve received often is the ability to share content to multiple places. Have one document that is relevant to several groups? You can now share that document once among those locations, making it visible to everyone without having to update multiple copies of it. Share the document like you would with any person, except now you can choose to share with Places, which will add a link to that content in that place. The places where the content is shared will be visible on the content itself, so you always know who has access to your content.

Place Categorization

You’ve long been able to categorize content, a handy way to filter just the most relevant information at any given time. Now you can do the same by using categories for groups. When a group is created, you can select pre-defined categories to apply to that group. Those categories will show up in the groups About menu, and you’ll also be able to browse across all groups that fit a particular category. This works for Spaces as well as Groups and Projects.

CRM Connector

For those communities that are tied to backend CRM systems, we've further enhanced that capabilities of the CRM Connector. In addition to the ability to create CRM cases directly from the JiveX UI, customers get more direct insight into the status of the case with closure directly updating the answer in JiveX. On the CRM side, cases created from the JiveX UI can be viewed and replied to with solved cases quickly and easily turned into JiveX KB articles. What's more, when searching from the CRM system, Jive content is also shown. With the addition of the CRM system as the IdP, administrators jobs are made easier and user experiences more streamlined.

Resonata Influencers

Our enhanced Resonata Influencers Insight brings you new influence ranking analysis added into Resonata.

  • Top Influencers -For every search performed within Resonata the "People" analysis box will contain, in addition to other top ranking lists, a list of top influencers within the given scope. Because this list is available for any search, Resonata users can drill down to see the top influencers for individual topics/themes, spaces, periods of time, sentiment, etc.
  • Influence Traits - new Traits are added to the Trait Analysis feature, enabling Resonata users to see at a glance which people are considered highly influental community-wide, and also to search specifically for activity by highly influential people.
  • Top threads by influence - the Threads box adds the ability to sort threads by influence rank.

CMR Reports

And to provide you additional insight into your Community's usage, we've added new reports to CMR. Namely, Views of Answered Questions and Top Users by content created, content read, questions answered, likes given, and likes received. It is now easier than ever to target key people and actions in your community, encouraging and enabling continued adoption.

UX Enhancements

As always, we continue to invest in our core platform, innovating the user experience and providing more ways to integrate with Jive. Beginning with additional updates to our UX redesign, offering additional themeing options, updating icons across the platform, and a host of additional tweaks to provide visual refresh to your community.

  • Place Banner Management - We built in place banner customization and management so that users with community administrators and higher roles can update the look and feel of the places in your community. You can manage the template banners, and which presets are presented to your users when they create new places.
  • Light Inbox refresh - The inbox was using some older UI elements and styles. These have been updated.
  • RTE icon set update - Modernizing the icon set for the RTE to a more glyph-like display.
  • Visual and interaction alignment for menus across the board

Continuing with this investment, and to augment our mobile story, we're showing off the first iteration of our responsive design. Now, as the size of your browser changes, so will the layout of the site, making it easier to view critical content and navigate across. You can expect to see more of this in subsequent releases as well

This release brings new innovation to seamlessly connect and drive engagement across your external customer or partner community from any device. We focused this on evolving our mobile offerings, enhancing content sharing and discovery, and connections to other systems.  We are excited to share new capabilities!

Engage from Any Device

Jive has put mobile at the heart of our product strategy and continues to innovate for communities on the go including:

 

Jive Present Tablet App Now for JiveX - Jive Present is now available for external communities to deploy an interactive content app for your community that pushes (and pulls) content updates while sending important announcements.  For partner communities this means you can extend your brand and content into meetings your partners are having, while directing their conversation.  Also, you now have an engaging way to educate customers, launch products, and even target content specifically to prospects.  This release also includes an iPhone App, Web Experience, and much more (check out the Spring Jive Cloud release for more enhancements in this release.

 

Native Android app - This app coming at the end of the quarter will take all the rich community capabilities in the web app to find answers, view and participate in conversations, while also enabling people to create content.

 

Updated Native iOS app - Version 3.0.4 of Jive's native iOS Mobile app is already available in Apple's App Store. It leverages the rich capabilities of iOS 7 and Apple's underlying hardware - smooth transitions, photo/video upload, secure keychain, local storage, fast app-switching, and more.


Continued Design Evolution - We will continue to innovate the Jive user experience across devices with this release. For example, we are redesigning user hover cards, updating the global modal styles and the default table design in the Rich Text Editor, among other things – these small changes will incrementally move the app towards our longer-term vision for a cleaner look that puts what matters most in the spotlight. Share and Discover Content, with Context

Creating, curating, finding, and sharing content within a community has become far easier.  With the Spring release you can:Share Content (1).png


Follow Topics - Today in Jive you can follow a group or person, however as we all know from tools like Twitter following topics of interest is an easy way to keep up on specific things happening across the community.  In this release you can easily follow topics of interested so that every time a piece of content, person or place is tagged, you stay in the know.  And, your users can immediately be notified how they like, in their streams or email inbox notifications. Mark as “Reserved” - If there is a new knowledge article or training piece "in flight" information you can now mark content as "Reserved". Collaborate on and content out quicker, and let the community know it’s coming. To learn more, review the Sneak Peek: Deep Dive for Reserved Documents.

 

Share Securely - There are many times where you want to give access to a piece of content in a private group, however that member does not have access.  You can now bring in collaborators to work on specific content, without granting access to the entire group keeping the rest of the content and conversations secure, while sharing just certain items. Connect and Secure the JiveX Platform

This release we have made enhancements to the overall platform, integrations to other systems, and from a compliance perspective including:

 

Updated Twitter integration - Also available in the Jive StreamOnce module will be the ability to follow Twitter handles and lists, and further narrow down the results received by using hashtags. This will make it easier to narrow to specific types of Tweets for your community and collaboratively resolve issues customers may tweet about, for example.

 

Advanced Dropbox integration - With an additional purchase of our Jive StreamOnce module, you'll be able to connect a group in Jive to a folder in Dropbox, enhancing the Dropbox file storage system with the collaboration and actions that occur in Jive. Store files in Dropbox, comment and work on those files in Jive.   This will really come in handy when you need to collaborate on files with customers or distribute content to a partner that likes Dropbox.

 

Records Retention (now in cloud) - Sleep easy at night knowing all information is being exported to archival systems for legal and compliance reasons. Records Retention is available as a separate module.


Enhanced Disaster Recovery (coming in cloud) - All Jive clients instances today are recovered as soon as possible in the event of a disaster.  However, at the end of Q2 we will offer Enhanced Disaster Recovery services that include documented plans, recovery point and time objectives, as well as specific service level agreements (SLAs) if needed. Customers can chose the level of service that suits their requirements.

The Twitter Plugin has been updated for all versions of Jive 5, 6, and 7. This update is to fix a bug introduced by changes in the Twitter API that made it impossible to connect and configure the plugin. If you are having issues with the Twitter Plugin, please use the latest jars attached to the plugin download page to get the newest version.

  • Fix for a bug where, under specific conditions, clicking Delete All Documents for a specific user will potentially result in all documents being deleted, not just the specified user's documents.

The long awaited and much anticipated Google Drive integration is now live!

 

What is it?

 

  • Connect a Place in Jive to a new Folder in Drive
  • Upload/update a file in the Jive Place, it will be stored and visible in Drive
  • Upload/update a file into the Drive folder, it will be visible in Jive
  • Comment on the file in either location, comment will appear in both Jive and Drive


Why it matters?

  • You use Google Drive to store and comment on large files. We now have the ability to collaborate around those files both in Jive and in Drive, widening the reach and audience, enabling more seamless work across teams
  • Allows users to take advantage of Google's desktop sync, previewer, and mobile accessibility for those binary files
  • You can easily control where files are stored, per-Place or across their entire Community

 

What does it look like?

 

We wanted to make this as seamless an integration as possible, while still being very clear about where the files are stored and enabling access between the systems

 

Files uploaded into a Drive-connected Place will show links to the connected Drive Folder

The Jive+Drive integration is available for Jive7 customers (that can connect to a cloud service such as StreamOnce) and Jive Cloud customers.
