On the surface, archival solutions may not be as sexy as data security, but in reality, they’re no less essential to the reality of modern business. How did we get here?

 

In the great migration to the cloud, some businesses thought their corporate memories were safe. But cloud providers rely on third-party solutions whose myriad weaknesses can still put you at risk without a sound archival strategy.

 

It’s scary but true: Over 60% of a company’s corporate knowledge lives only in email. Despite the advent of a range of collaboration and sophisticated storage tools, a tremendous amount of ‘corporate memory’ remains at risk and out of reach where it could do the most good within an organization. Much of it is inaccessible; locked up in inboxes. And, email systems are generally not even as safe as one might think.

 

Email is also not the only corporate asset that needs to be archived. So while archival protocols don’t sound nearly as urgent as security protocols, organizations of all shapes and sizes need to start thinking about what their archive is capable of, if there is one in place at all. One thing’s for certain: From law firms to healthcare companies to small businesses, for legal, regulatory or compliance reasons, email archival services have evolved from ‘nice-to-have’ to ‘absolute necessity.’

 

A central repository

The best vision for the world we’re facing is to enable the archiving not just of email, but of any form of object or content type, including simple object types like files all the way to more complex structures, like websites, chat, video and audio. There is no doubt that organizations need a central repository or archive platform that will store all types of data, while providing flexible and easy-to-manage retention policies, and simple ways to extract the required information.

 

Powerful search capability

One of the most important elements of any archive platform are the search capabilities, and they’ll need to get stronger and offer more functionality to keep pace with the oncoming future. They should include semantic-based searching, where documents which refer to the same topic are also provided in a result set. (e.g. if one searches for AWS, documents without the term AWS but have the phrase Amazon Web Services are also present in the search results).

 

Complex file type management

The management of complex file types, like audio and video, will need to become commonplace. The challenge here is how to make it easy for the end users to search for such items. To accomplish this, video and audio files would first be transcribed based on the detected language, and then indexed. This makes it possible to search across archived video audio assets. Imagine having all your company meetings recorded and searchable on-demand.

 

Universal mobile access

Content---all kinds, in all different formats---needs to be accessible via mobile device.  Native integration with Android and iOS via mobile app is no longer an option. Apps should make it simple to search and filter the result set. Result sets then can be exported/shared, viewed or bulk exported. This is what full flexibility looks like.

 

The landscape is changing, and we’re paying attention. It’s all influencing our work as we create Aurea’s roadmap to archival solutions. Stay tuned for more on that as it develops.

Communications is the lifeline of your business. Organizations need to ensure safe and proper delivery of their communications and Aurea Messaging Solutions is designed with this in mind. Aurea wants to keep building on these strengths, bringing the platform into the new decade with added flexibility and functionality.

 

Customers using our Email Security service have been migrated to a new provider that will surely deliver more and give them better protection for their emails. Back in 2015 Aurea partnered with SpamTitan a leader in the email security business with over 18 years of experience to deliver a better security service for our customers.

 

Email Archival and Email Continuity have been through some structural changes in 2017 both at the architecture level and also in its functionality. Native Office 365 support is the biggest achievement, and now customers can archive directly from within an Office 365 environment without having Exchange on-premise components installed. A great plus point for customers migrating to Office 365.

 

In 2018 we are looking at addressing some crucial factors in Email Archival and Continuity primarily in the speed or searching/retrieval of items, stability/uptime and also scalability. Apart from this, we are currently building a newly revamped UI using modern web technologies enabling easier access from a wide range of devices.

 

Please continue to use the AureaWorks community to communicate and engage with us at Aurea. Ask questions, exchange information with us and other customers, bring in ideas and use the information here to stay aligned with the product vision and capabilities you can use from now on.

As you may know, the regulation imposes broad data privacy protections for EU individuals and applies to any company that collects or handles EU personal data. At Aurea, data protection is of critical importance so we are committed not only to our own compliance, but also helping our customers address the GDPR requirements that are relevant to our products and services.

Aurea Works is a place to engage with Aurea's team as well as other customers.  We hope to achieve three key benefits through our AureaWorks customer community:

3.  Collaboration with other users

 

Our Support process has not changed - we still have a separate support portal that we eventually hope to integrate into AureaWorks to create a "one stop shop" for all of your support needs.  But in the meantime, we understand that you are busy and taking the time to create support tickets and wait on responses can be a hassle.  With AureaWorks, we have provided an environment where our customers can self serve by searching for answers to their product questions or leverage the vast supply of training materials.  We are always here for you and happy to receive your call or support case through traditional channels, but we also hope to find more convenient ways for you to engage with us and the broader community.

 

For Product education, we want to ensure we effectively share the exciting news around planned product innovations.  But we also need to learn from you, our customer.  AureaWorks provides a channel for you to give our team direct feedback on what's important to you to ensure that we integrate your product enhancements into our roadmap.  Furthermore, we intend to share product release information and forward looking product innovation strategy on a regular basis so that you are never left wondering what it is that we are doing behind the scenes.

 

And finally, AureaWorks is a collaborative community where you have the opportunity to engage with Aurea personnel as well as other customers.  AureaWorks is all about you - our customer - and we want to ensure that we provide the opportunity to engage with other users to learn about how others are leveraging our technology to create value for their own organizations and inspire creativity throughout our installed base.
